Report on vacancy and status, including applications

The last update for the november release! One more new report type is introduced, the third in this release: "Vacancies - with applications & task history":

The new report type enables reporting on vacancies and vacancy status information information, including applications. Note that this is different from the existing report type "Vacancies - with applications & applications task history", as the last one shows status information from the applications for the vacancy, not status information for the vacancy itself.

Delay publishing of job on website until start date

Two ideas were posted simultaneously on the community, Publish job vacancies ahead, by @rm, and Postpone start date when publishing a vacancy, by @tas.balk.dk. Both basically describe the same thing. First publish the vacancy on the website when the start date is reached.

This has now been implemented. Note that when you publish the vacancy it is still marked as "unpublished". When the start date is reached, this will automatically change to "published".

Report on candidate portal visits

The idea on the (dutch) community, Report on candidate portal visits, by @sasja, is now available on our Labs server.

A new report type is introduced, "Candidates - with self-service":

The new report type enables reporting on candidates that use the candidatesportal, with information like number of logins, last login date, etc.

Enhanced match weighting factors

We enhanced the match features in peoplexs in the way it deals with weighting factors.

First, you can now add labels to weighting factors that show up on your application forms on your website. In the next example we ask the candidate to fill out language skills where we have 3 weighting factors and we added the values "Basic, Intermediate and Fluent" to these factors:

This creates a nice "matrix like" form for the candidate to fill in.

Second, we calculate the match score using the weighting factors of the skills from the vacancy as a requirement. Continuing the language skill example: When the vacancy has "English" with weight "Intermediate", all candidates that apply and have the skill "English" with "Intermediate" or higher will have a 100% score.

Hide menus and tabs

The idea on the community Hide tabs and objects (objects meaning menus), has been around since April this year and I am happy it got finally voted in a release. The idea was posted by @neavev.

The idea is to hide menus and tabs that you don't use in PeopleXS. When not used, they only clutter the screen and by hiding them you can remove unnecessary distractions.

Let me note that this is a temporary solution that in time will be replaced by a full-fledged role system (customizable in the peoplexs spirit). But more about that when we get that far.

The setup is quite easy. Go to "Setup - Hide menus and tabs" and here you find an overview of the menu items that are hideable:

Just check the menus you want to hide and press save. You dont have to worry about internal links in peoplexs. Like if you would want to hide "Accounts", vacancies in peoplexs will still have a link to their account, you only hide the menu option "Accounts".

Next to each menu you see the option "Hide tabs". This will list all the available tabs for this menu, like this example for "Vacancies":

Mark the tabs you want to hide, and save.

That was easy :-)

Finaly, a little sidenote about the status of the release. The release is now ready to ship. I realize we are running a little behind on schedule with postings in this Lab section about the contents of the release, so we will do the last updates now quickly. Too late for you to comment before the release, but we will do beter next time and lets hope that we made it exactly as you wanted it.

Procurement with the agency portal

With the agency portal in peoplexs you can posts vacancies to your suppliers and let them propose candidates (CVs) in return. Especially for those of you who use a large number of agencies, the agency portal has undergone a major overhaul, allowing you to do procurement with peoplexs. It supports the requisition of candidates as well as call for offer / call for tender and let you group relevant preferred suppliers based on the particular assignment you need to fullfil.

I will try to give a short preview of the possibilities, but this will not by far cover all the new possibilities the agency portal offers. We should actually rename it to procurement portal but you know it best as the agency portal so lets wait with that.

First the most important new option in the setup of the agency portal. You can make seperate portals for different type of suppliers. Like recruitment agencies, temp agencies, consultancy firms. This way you can finetune workflow and communication types depending on this. Next, you can group your suppliers on any charasteristics you might need, like competences, pricelevels, etc. Example: when looking for IT competences only agencies that deliver these services are relevant:

Once you have setup one or more agency portals, you can then use the portal to requisition information for a call for offer or call for tender, or to give them assignments. We continue the example with an assignment. The recruiter can see for each assignment which agencies could be relevant, make a selection, and send the assignment to the appropiate suppliers:

The suppliers receive the assignment on their portal and can suggest candidates together with pricing and other information. If needed questions and answer can be forwarded from the suppliers to the recruiter and vise versa:

After gathering all the offers and negotiating, the recuiter can make a decision and prepare a contract with the supplier that won the assignment. See also the previous post about using templates for contracts.

This feature is part of a series of changes to improve peoplexs for hiring temp workers. We developed it in cooperation with our customer Prorail. It is available on the Labs server for you to have a look.

Generate contracts from templates

You are probably well aware of the possibility to define mail templates in peoplexs. They allow us to standardize and speed up communication with candidates, suppliers/customers, etc. We made them more generic so you can use them to generate documents in word and pdf format. This allows you to setup templates for employment contracts, temp hiring contracts, all types of contracts with suppliers/customers, etc.

The template options are moved in the menu to: "Setup - templates". Here you set up a template just like you are used to from the original mail templates. You can use images (like for logos) and macros, to be able to insert specific data like names and contact information for a particular document.

In the setup of the template you see a new option that will define what type of document you would like the template to support:

You can use multiple types for the same template, this will allow you to build a mail, a word file or a pdf docment all from one and the same template. In this example I have setup an employment contract and mark the document type as "PDF".

At the candidate I want to hire, I see a new option under the "Documents" tab, called "New document (pdf)". Note that the option is not available when there are no templates with the "pdf" document type marked in the setup. When I click on it, I get the option to pick one of the templates I made for PDF documents:

I want to make an employment contract for this candidate, so I select this one and continue. A draft of the document is build for me, the name and address information of the candidate is included, and I can still edit the draft document before the PDF is made:

When ready editting, just click the "Save as pdf" option, and the document will be filed under the "Documents" tab, and opens in the browser. Now you can use it as an attachment in a mail or make a print.

Forwarding CV from the managersportal

This new feature was very popular on the community. It received a lot of votes: Forwarding CV from the managersportal. It was posted by @chusersg, the second idea she came up with that we developed in this release.

In the normal app it is already available for a longer time. And soon also managers can enjoy easy forwarding of CV's by e-mail for feedback to colleagues that have no access to the system (either the app or the managersportal). Down- and uploading of files with the browser is history.

On the bottom of the candidate file, just above the list with send and received mails and other document, you find the new option "Send CV by mail":

Click on this option and you will get the familiar option to select a mail template:

Maybe it would be an idea to create a mail template especially for asking feedback, otherwise you just choose "no template". There is an extra "Send to contacts of..." option where you can choose if you would like to send the mail to contacts that belong to the account (department) or the vacancy. Now the mail is build:

Peoplexs will prefilll the "to:" part in the mail with the mail addresses of the persons depending on what your choice was with the previous option. You can also add other mail addresses. And as you can see the CV is already attached and ready to be send.

And again life is lot easier! You can have a look on our Lab server to take a preview.

Report on contacts in relation to vacancies

The idea on the (dutch) community, Contacts in reports, by @adminvvaa, is now available on our Labs server.

A new report type is introduced, "Vacancies - with contacts", enabling reporting on contacts in relation to vacancies:

I leave the rest to your imagination, which should be no problem when we are talking custom reports :-)

Allow managers to add candidates

As recruitment becomes more and more decentralized the need for this option is obvious, and was brought up as an idea on the community, Add candidate in managers portal, by @tas.

To use this option you need to setup a custom form with all the fields you need about the candidate when adding through the managersportal. You can do this in "Setup - customize - candidates - custom forms". Then connect this custom form to the "Add candidate" option in the setup of the managersportal, in "Setup - self-service - portals - managersportal":

Once the custom form is connected you will see the option to add a candidate pop up in the managersportal, on top of the list with candidates for a vacancy the manager is working with:

The workflow still controls what happens to the candidate after adding, first send them to the central HR department, or available for the manager right away. You can also change the workflow to treat these added candidates differently and make them available for the manager right away, while other candidates that are added through the regular channels first go through the HR department. If the candidate first should go through the HR department and not be available for managers before a first screening, remember to instruct the managers on this so they don't think their candidates "disappear".
